What is an automated reference check?

An automated reference check collects feedback from former employers via a digital platform. Instead of calling yourself, Otentica sends structured questionnaires to the referees provided by the candidate. This saves time and provides consistent, comparable feedback.

What questions are asked to referees?

The questionnaire contains questions about the employment relationship, role and activities, strengths and development areas, collaboration with colleagues, reliability, and whether the referee would rehire the candidate. You can also customize the questionnaire to your specific needs.

How many referees must be provided?

By default we ask for at least 2 referees, but this is configurable. We recommend providing referees from the last 2-3 employers. Referees should preferably have been direct supervisors or worked closely with the candidate.

What if a referee doesn't respond?

Otentica automatically sends reminders to referees who haven't responded yet. You can see in your dashboard which referees have responded and which are still pending. The candidate can optionally provide alternative referees.

How long until I receive feedback?

Most referees respond within 3-5 business days. The average turnaround time for a complete reference check is 5-7 business days. Automatic reminders help accelerate the response.

Is the feedback confidential?

Referees are informed that their feedback will be shared with the potential employer. The feedback is not anonymous - the candidate knows who was provided as a referee. Referees can indicate if certain comments are confidential.

Yes, Otentica offers the ability to customize questionnaires to your specific needs and the role the candidate is applying for. You can add, remove or modify questions.

Is the reference check GDPR compliant?

Yes, the reference check is fully GDPR compliant. The candidate gives explicit consent for contacting the provided referees. All data is processed encrypted and you determine the retention periods according to your privacy policy.
